Two categories on one shelf

Almost every roundup files these tools together under productivity, which hides the only distinction that matters when you are choosing. A scheduler is forward-looking: it decides where work goes. A tracker is backward-looking: it records where work went. Different questions, different reasons to buy, and failure modes with nothing in common.

If a plan you made on Monday is wrong by Tuesday lunchtime because three meetings landed on it, that is a scheduling problem. AI scheduling: what the four tools actually automate

The four names that come up in every 2026 comparison split cleanly into two pairs, and the split is more useful than the individual reviews.

Motion is an auto-scheduler. You give it tasks with a duration, a deadline and a priority; it finds slots for them around your existing meetings, and when the calendar changes it re-plans everything affected rather than asking you to. It also carries project management and booking links, so it aims to replace a task tool and a calendar assistant at once. The condition is strict: every task needs an honest duration estimate and a real deadline, or the scheduler has nothing to reason with. Teams that will not estimate get a calendar full of confident-looking guesses.

Reclaim.ai takes the opposite bet. It layers on top of Google Calendar or Microsoft 365 rather than replacing them, and automates four things instead of one: tasks placed into free time, habits (recurring routines that move within a window rather than sitting at a fixed hour), smart meetings that find a mutual slot and can move it later, and calendar sync that mirrors events between accounts as busy blocks. It also reports on where the week went. Reclaim was acquired by Dropbox in 2024, worth knowing if roadmap independence matters to you.

Sunsama does not auto-schedule at all, and that is the product. It runs a guided daily planning ritual: pull today's candidates from Todoist, Asana, Jira, Linear, Gmail or Slack into one list, estimate each one, drag them onto a timeline, and get warned when the plan is longer than the day. At the end there is a shutdown ritual, and a timer that records planned against actual. It automates assembly and pacing; the decision stays yours.

Akiflow is Sunsama's keyboard-first cousin. Its centre of gravity is a global command bar and a consolidated inbox: everything that arrives as a task in email, Slack, Notion, Jira or a project tool lands in one place, gets triaged, and is dragged onto a calendar slot. Like Sunsama, it will not decide for you.

The honest summary: auto-scheduling solves placement, manual planners solve commitment. If you know what today should contain and cannot find room for it, Motion or Reclaim.ai will help. If you routinely plan eleven hours of work into an eight-hour day, an auto-scheduler will arrange eleven hours into next week and you will feel no better. Time tracking: manual, automatic, and the real difference

Trackers divide by how the data arrives. A manual tracker records what you told it: you start a timer, name the thing, stop it. An automatic tracker records what your device saw: which application had focus, which document was open, which site was in the front tab, for how long. A manual timer knows intent. The practical answer is both, in sequence rather than in parallel: run an automatic tracker for two or three weeks to find where the time goes, then keep a manual timer only for the categories that need defensible numbers. Running two full systems permanently is the tool sprawl described in digital minimalism, and the second is usually abandoned by week three.

Two rules cover most cases. If anyone other than you will read the output, you need review before submission: Toggl Track, Clockify or Timely. If nobody else will ever see it and the point is to understand your own week, an automatic tracker with no timesheet ceremony is the lower-friction choice: RescueTime or Rize.

The tradeoffs of a tracker that never stops watching

An always-on tracker is genuinely the best instrument for a time audit, and it is also a continuous record of your working life. Both are true, and the vendors are better at saying the first part. Four questions are worth answering before you install one.

  • Where does the data live? Some tools keep raw activity on the device and upload only aggregates; others send window titles and URLs to a server. Titles are the sensitive part, because they routinely contain document names, client names and the subject lines of personal email.
  • Who else can see it? A personal account and a company-administered seat of the same product can behave very differently. Timely's design is explicit here: captured activity is private to you until you approve it into a timesheet. Assume any team plan has an admin view unless the vendor documents otherwise.
  • Is it on your machine or theirs? On a managed work device this is a policy question rather than a personal one, and in several jurisdictions employee monitoring carries notice and consultation obligations regardless of who installed it.
  • Can you pause it? The most useful feature of an always-on tracker is a reliable off switch. A tracker without one gets uninstalled rather than paused.

Then there is accuracy, oversold in a subtler way. Automatic categorisation is a guess made from an application name and a window title. It will call a research-heavy afternoon in the browser distraction, file a long document read as idle because you were not typing, and score a video call as productive whether the call was worth having or not. The numbers are reliable at the level of how long and unreliable at the level of what for, so treat the categories as a first draft you correct. That correction is the step most people skip, and it is why the second week of data is always better than the first.

The AI features that actually change a week

Most of what is labelled AI here is scheduling logic with a good interface, which is not a criticism: constraint solving over a calendar is exactly what software should do instead of a person. Four capabilities are worth paying for. The rest is packaging.

  • Auto-scheduling around the calendar. The tool reads your existing events, working hours and task deadlines, and places work in the gaps.   • Conflict detection and re-planning. More valuable than the initial placement, and less advertised.   • Focus-time defence. A block only protects you if other people's booking tools see it as busy. Two more are useful but rarely decisive: cross-account calendar sync, which matters if you carry two or three calendars, and scheduling links, which most calendar products now include anyway.

What to discount: AI-written meeting summaries bolted onto a scheduler, natural-language task entry (pleasant, saves seconds), and priority scoring that has no more information than you gave it. A model cannot know that the quiet request from a colleague on Friday is the one that matters this quarter.

Choosing without buying four subscriptions

  1. Name the problem before you shortlist. Missing deadlines is a scheduling problem. Not knowing where the week went is a tracking problem. Over-committing is a planning problem, and no tool here fixes it automatically. Buying the wrong category wastes a quarter.
  2. Measure before you automate. Two to three weeks of automatic tracking gives you the duration estimates an auto-scheduler needs to work at all, and often shows the problem was meeting load rather than scheduling.
  3. Trial with your real calendar. These products behave completely differently against a week with fourteen meetings than against a demo account. Give the trial your worst week.

An automatic tracker can see that a video call ran for fifty minutes; it cannot see that the decision was made in the first eight. A scheduler can defend two hours on Thursday morning; it cannot stop the invitation that arrives on Wednesday night with no agenda. Both categories are sold as answers to meeting overload, and neither is one. What they measure and defend is real, but which meetings exist, who attends, and how long they run are still decided by people.
